For flying clubs

Stop running the club from your kitchen table.

Members book, pay and renew themselves. Billing runs itself. The committee goes back to being members who fly.

Volunteers signed up to run a club. Not a call centre.

Here is where the committee's evenings actually go.

The treasurer

Three months of unpaid flying on the books and a folder of polite chasing emails. Reconciling the club account against a spreadsheet nobody else can open.

The membership secretary

Retyping renewal forms into the records. Chasing the members whose membership quietly lapsed in March and who are still booking aircraft.

The bookings officer

The 9pm phone call to swap a Saturday slot. The whiteboard photo posted to the group chat every Friday so people know what is free.

Whoever answers the phone

"Is the 152 free on Sunday?" "Did my payment go through?" "Can you update my address?" Every routine question routed through one volunteer.

A booking, start to finish

Count the committee's involvement.

  1. Tuesday, 07:40

A member books from their phone

They see live availability and pick a slot. Restriction rules check the licence and medical records the club holds on file before the booking is accepted.

  2. Tuesday, 07:41

    Confirmed, everywhere

A confirmation email goes out, the booking appears in their own calendar via the iCal feed, and it is already up on the live board in the clubhouse.

  3. Saturday, 16:30

    The flight becomes a charge

The flight is logged and priced at club rates the moment it is completed. It lands on the member's account, not in the treasurer's inbox.

  4. Month end

    Statements send themselves

Every member gets a statement automatically. They settle their balance online by card, and anyone overdue gets chased by the system, not by a volunteer.

  5. Renewal time

    The membership renews online

A renewal reminder goes out automatically, the member renews and pays from the portal, and the records update themselves.

Committee touches required: none.

For the treasurer

The money arrives already reconciled.

Membership fees, flying charges and one-off items are all billed automatically. Members pay by card online or at the clubhouse through Stripe or Square, and the money settles to the club's own bank on a schedule you set, with reports that match the bank statement.

  • Membership, flying and one-off charges billed automatically
  • Overdue balances chased by the system, politely and repeatedly
  • Settlement to the club's own bank account, on your schedule

Live board

For the clubhouse

Retire the whiteboard.

Put the day's flying on the clubhouse TV with a live booking board that refreshes itself. Members see what is out, what is free and what is next without asking anyone, and the picture on the wall always matches the diary.

  • Live boards for any screen, updating automatically
  • The same live picture members see on their phones
  • Cancelled slots go to the waiting list as expiring offers
For the committee

One dashboard instead of five spreadsheets.

Active members, renewals approaching, new joiners, revenue for the last 30 days and the 12-month trend, on one screen the whole committee can read. Each committee role gets its own permissions, and every change anyone makes is on the audit trail.

  • Membership and revenue at a glance, always current
  • Roles and permissions per committee member
  • A full audit trail on every change, with names and times

Paperwork the club never files again.

The membership records live in one place, and the booking system actually reads them.

Licences and medicals on file.

Licences, ratings and medical certificates recorded against each member, with expiry dates and a photo of the licence itself.

Enforced at the point of booking.

Restriction rules check licence, medical, membership and recency when a member tries to book. Out of date means the diary says no, automatically.

Signed, not stapled.

Club rules and waivers are signed electronically at onboarding, and the portal stays gated until every outstanding agreement is signed.
